A delivery record connects the tractor you ordered with the equipment you receive. It is especially useful when the purchasing contact, receiving team and eventual operator are different people. Prepare the record before arrival so the handover does not depend on someone’s memory or an unlabelled collection of phone photos.
Start with the confirmed order
List the final model and configuration, the order reference and the agreed accessories. Give loose items their own lines. An accessory packed separately can otherwise be mistaken for a missing item or assigned to the wrong tractor in a multi-unit shipment.
Use a simple receiving sheet with columns for item, expected quantity, received quantity, condition note and photograph reference. Record a named receiving contact and the date. Avoid placing sensitive commercial documents in a publicly shared photo folder.
Capture evidence that can be traced
- Photograph the complete tractor from clear, unobstructed viewpoints.
- Keep legible unit identification images with the matching order record.
- Record loose equipment and packages before they are moved into storage.
- Note the manuals and documents actually supplied, including their language and model coverage.
- List unresolved differences precisely, with the relevant photograph or item number.
For example, a missing pin and an unconfirmed accessory are different issues. Recording each against its own item line gives the supplier a question that can be answered directly.
Complete handover before routine operation
Receiving equipment is not the same as confirming it is ready for work. Arrange the appropriate inspection, assembly and operator familiarisation for the supplied configuration. Follow the relevant manuals and qualified technical advice; a delivery checklist is not a commissioning procedure.
Retain the completed record with the order and service documents. If something differs from the agreed supply, contact the supplier promptly with the evidence and a clear description. Do not infer warranty coverage or a resolution deadline from the checklist: those depend on the actual terms agreed for the order.
